Office Administrator/ Receptionist Intern

Job Purpose:

Directing visitors to a business site to a proper department/office location. Answering phone calls,
letters & emails and/or directing these communications to the correct department/staff person.
Making clients & visitors to the site feel welcomed & answering all of their questions. General administration tasks within an office environment.

Job Duties; Including but not limited too:

  • Taking & directing calls, possibly through a switchboard
  • Completing administrative tasks like filing delivering & accepting mail
  • Cleaning, organising & maintaining the reception area
  • Keeping basic office supplies like pens socked & accessible to visitors
  • Ordering supplies for the rest of the office
  • Setting up meeting facilities
  • Arranging for catering for meetings & daily office use
  • Greeting visitors to the facility warmly & offering them help immediately
  • Providing customer support
  • Answering questions about products or services offered at the business
  • Answering questions about office hours & who is in the office at any given time
  • Interacting with other departments such as Information Technology (IT) when someone needs more
  • technical assistance
  • Scheduling appointments and meeting times
  • Maintaining front door security and reporting any suspicious activity
  • Putting through sales &/or assisting clients making orders
  • Representing the business with a positive attitude & professional appearance
  • Engaging in public relations & marketing to a minor degree

Skills and Qualifications:

Friendliness, knowledge of the business, attentiveness, good memory, communication, product
knowledge, helpfulness, organization, filing, sorting posts, answering phones, multi-tasking, cus-
tomer support, scheduling, sales, marketing & basic office administrative duties, well spoken and
presentable is a must.
